PROGRAM WAIVER & PARTICIPANT AGREEMENT

This waiver must be completed by a parent or legal guardian before an athlete may participate in any Lone StarTrack & Field (LSTF) training sessions, practices, meets, or events.

1. ASSUMPTION OF RISK

I understand that participation in track & field, conditioning, speed training, strength training, and related athletic activities involve inherent risks, including but not limited to:

  • Sprains, strains, fractures, and overuse injuries
  • Heat‑related illness
  • Collisions, falls, or accidents
  • Risks associated with travel to and from practices or meets

By signing below, I voluntarily assume all risks associated with my athlete’s participation in LSTF activities.

2. RELEASE OF LIABILITY

In consideration of my athlete’s participation, I hereby release and hold harmless:
Lone Star Track & Field, Athletic Health & Performance, its coaches, staff, volunteers, partners, and facility hosts from any and all liability, claims, demands, or causes of action arising out of or related to injury, illness, or damages that may occur during LSTF activities.

This release applies whether the injury is caused by negligence or otherwise, to the fullest extent permitted by law.

3. MEDICAL AUTHORIZATION

I certify that my athlete is physically able to participate in LSTF activities and has no medical conditions that would prevent safe participation.

I authorize LSTF staff to:

  • Provide basic first aid
  • Seek emergency medical care if necessary
  • Contact emergency services and transport my athlete if required

I agree to be responsible for all medical expenses incurred.

4. MEDIA & PHOTO CONSENT

I grant LSTF permission to capture and use photographs, videos, and digital media of my athlete for:

  • Team highlights
  • Social media posts
  • Website content
  • Promotional materials
  • Athlete recognition

I understand that LSTF will never post content that is inappropriate, unsafe, or harmful to the athlete’s reputation.

(If you wish to opt out, please notify LSTF in writing.)

5. NIL SAFE LANGUAGE

I understand that LSTF may offer optional, age‑appropriate NIL (Name, Image & Likeness) opportunities for athletes, including:

  • Guest coaching
  • Appearances
  • Social media collaborations
  • Highlight features

All NIL activities:

  • Are voluntary
  • Require parental consent
  • Follow fair‑market value guidelines
  • Are compliant with youth‑appropriate standards

LSTF does not require or pressure athletes to participate in NIL activities.

6. COMMUNICATION, CONDUCT & SAFETY AGREEMENT

By signing below, I acknowledge that I have read and agree to follow LSTF’s Communication, Conduct, and Safety Guidelines, including:

  • Respectful communication with coaches and staff
  • No sideline coaching
  • Athletes must maintain 80% attendance
  • Athletes must follow coaching instructions and training progressions
  • Parents must model positive behavior at practices and meets
  • Athletes must notify coaches immediately of pain or injury
  • Parents must ensure athletes arrive prepared, hydrated, and on time

Failure to follow guidelines may result in removal from practice or the program.

7. PAYMENT AGREEMENTEEMENT

I understand and agree to the LSTF monthly training fee structure. After upfront cost due at registration $151.00:

  • $50 per month
  • -$10 per month for each additional sibling
  • All fees are due at the beginning of each training month
  • Missed practices are not refundable

I agree to remain current on all payments to maintain my athlete’s active status.

8. ACKNOWLEDGMENT & SIGNATURES

Parent/Guardian Acknowledgment

By registering for this program, I confirm that:

  • I have read and understand this waiver and agreement
  • I voluntarily accept all terms and conditions
  • All information provided during registration is accurate
  • I understand that LSTF is a selective program and roster spots must be earned each season

  

Athlete Acknowledgment

By registering for this program, I understand that I am expected to:

  • Give my best effort
  • Show respect to coaches and teammates
  • Follow training instructions
  • Represent LSTF with pride and sportsmanship

Communication, Conduct & Safety Guidelines

These guidelines ensure that every athlete, parent, and coach experiences a safe, supportive, and high‑standard environment. By joining Lone Star Track & Field, families agree to uphold the expectations below.

1. COMMUNICATION GUIDELINES

Program Communication Channels

To keep communication clear and consistent, Lone Star uses:

  • SportsYou for team updates, reminders, and announcements
  • Email for registration, billing, and official documents
  • Phone/Text for urgent matters only

Response Expectations

  • Coaches and staff will respond to messages within 24–48 hours
  • Non‑urgent questions should be sent through SportsYou or email
  • Practice‑time communication should be limited to emergencies

Parent–Coach Boundaries

To protect training time and maintain a focused environment:

  • No sideline coaching or instruction from parents
  • No approaching coaches during practice unless urgent
  • Post‑practice questions should be brief or sent through SportsYou

Professional & Respectful Tone

All communication — written or verbal — must remain:

  • Respectful
  • Constructive
  • Focused on athlete development

We do not tolerate disrespectful, aggressive, or disruptive communication toward staff, athletes, or other families.

2. CONDUCT GUIDELINES

Athlete Expectations

Athletes are expected to:

  • Maintain 80% attendance
  • Arrive on time and ready to train
  • Demonstrate sportsmanship at all times
  • Follow coaching instructions and training progressions
  • Treat teammates, coaches, and facilities with respect
  • Represent Lone Star with pride at all meets and events

Parent Expectations

Parents agree to:

  • Support their athlete’s development and effort
  • Avoid coaching from the sidelines
  • Respect coaching decisions regarding training, events, and progression
  • Ensure athletes arrive prepared (hydrated, proper gear, on time)
  • Model positive behavior at practices and meets
  • Communicate concerns privately and respectfully

Team Culture

Lone Start T&F is built on:

  • Discipline
  • Effort
  • Respect
  • Accountability
  • Growth mindset

Any behavior that undermines team culture may result in removal from practice or, in serious cases, removal from the program.

3. SAFETY GUIDELINES

Practice Safety

To ensure a safe training environment:

  • Athletes must complete warm‑ups before participating
  • Proper footwear and attire are required
  • No athlete may join practice without medical clearance
  • Athletes must notify coaches of pain, injury, or discomfort immediately
  • Parents must remain outside the training area unless asked to assist

Weather & Facility Safety

  • Practices may be adjusted or canceled due to lightning, extreme heat, or unsafe conditions
  • Athletes must follow all facility rules and staff instructions
  • Hydration is required; athletes are required to bring water to every session

Injury Protocol

If an athlete is injured:

  • Coaches will assess and determine whether the athlete can continue
  • Parents will be notified if removal from practice is necessary
  • Return‑to‑play decisions follow a safety‑first approach
  • Medical clearance may be required for certain injuries

Meet Safety

At competitions:

  • Athletes must stay within designated team areas
  • Parents must ensure athletes arrive on time for check‑in
  • Athletes must remain with the team unless dismissed by a coach

4. ATTENDANCE & COMMITMENT

Attendance

  • Athletes must maintain 80% attendance to remain in good standing
  • Absences should be communicated in advance through SportsYou
  • Excessive unexcused absences may affect meet entries or roster status

Commitment to Growth

Lone Star T&F is a selective program. Athletes are expected to:

  • Give consistent effort
  • Follow training plans
  • Show respect for the process

Demonstrate a desire to improve 

5. PROGRAM POLICIES

No Refunds for Missed Practices

Because fees are based on weekly training structure, missed practices are not refundable.

Behavioral Violations

Serious or repeated violations of conduct or safety expectations may result in:

  • Parent meeting
  • Temporary suspension from practice
  • Removal from the program

Social Media

Athletes and parents must:

  • Represent the program positively
  • Avoid posting negative comments about teammates, coaches, or other clubs

Use good judgment when sharing photos or videos 

6. AGREEMENT

By registering for Lone Star Track & Field, families acknowledge and agree to follow all communication, conduct, and safety guidelines outlined above.
